Presenters' Guidelines

General points

The official language of Diagrams 2006 is English.

In preparing your presentation, please bear in mind that Diagrams audiences are multidisciplinary in nature - try to make your presentation as widely accessible as possible.

The venue is Wallenberg Hall.

Paper presentations

The conference venue for oral presentations is the Wallenberg lecture theater of capacity 90-100 people and of dimensions 35 X 24 feet.

We assume that most presenters will prepare Powerpoint, Latex, or Keynote slide presentations. If any special audio or visual equipment is required, please email CHAIRS@DIAGRAMS-CONFERENCE.ORG as soon as possible. Also, please email if you plan to use other media (e.g., audio or video clips) in your presentation so that suitable players can be installed on the presentation machine. Alternatively, speakers may use slides/transparencies on an overhead projector (OHP). Paper sessions are scheduled in 2 hour (3 or 4 paper) blocks. Each session will be chaired. Speakers should introduce themselves to their session chairs in good time before their session. Full paper presenters are allocated 30 minutes - they should aim to speak for 20 minutes and take questions for 10 minutes. Short paper presenters are allocated 15 minutes - they should aim to speak for 10 minutes, with 5 minutes for questions. We request that speakers keep to these time limits. At the end of each paper session, the chair will spend 15 minutes discussing the session's papers.

To minimise speaker changeover time, we request that speakers email their presentations to ADMIN@DIAGRAMS-CONFERENCE.ORG by June 27th so that we can pre-load the whole conference program onto the presentation computer.

Presenters are also requested to save their presentation and any supplementary files to a removable medium (e.g., CD, DVD, key drive/memory stick,..) and bring a spare copy along to the conference as a backup in case of problems. Presenters will have an opportunity to test that their presentation runs properly on the conference computer (Windows XP, service pack 2) before their session but should, wherever possible, pre-test their presentation on the Windows XP platforms.

Poster presentations

The poster venue will be a Room 127 in Wallenberg Hall which forms an annex to the conference's main lecture theatre. Poster boards of dimension 4 feet by 8 feet will be provided. Each board will hold 2 posters so presenters should aim to design their posters to a maximum of 48 in x 48 in (note that A0 size paper is 1189 x 841 mm or 46.81 X 33.11 in). Push pins (thumbtacks/drawing pins) for mounting posters on the boards will be supplied. Presenters will be able to mount their posters during the first day of the conference (June 28th) so that delegates can view them throughout the conference. Presenters should plan to attend their posters and respond to questions, give explanations etc. during the designated poster session from 4:30-5:30pm on Thurs June 29th. Please bring any handouts to support the poster and have these available at your poster board.
